Operations Manager
Overview:
Title: Operations Manager
Reports to: Executive Director
Schedule Type: Part-time, 20-24 hours
Location: Office located in South Plainfield, NJ.
The Council on American-Islamic Relations, New Jersey office (CAIR-NJ) is looking for a qualified, passionate, and talented individual to fill the Operations Manager position. We are seeking individuals interested in working on the front lines of the fight for the civil rights of American Muslims. Join a small and intimate but quickly growing team that works to defend civil rights on behalf of the American Muslim community, promote civic engagement, strengthen the image of Islam and Muslims in the media, and build coalitions that promote justice and mutual understanding.
Strategy, Vision, and Leadership
- Work with the Executive Director to ensure that the organization’s legal, advocacy, and programmatic strategies align with CAIR-NJ’s mission and vision
- Implement a strategic plan to further CAIR-NJ’s statewide presence by expanding on programs and increasing CAIR-NJ’s visibility across key stakeholder audiences
- Support organization-wide planning, development, and communication activities, and ensure adherence to CAIR-NJ’s mission and vision
- Thoughtfully and proactively identify emerging issues and challenges facing the organization
Primary Roles & Responsibilities:
Administrative:
- Conduct administrative duties such as filing, scanning, printing, maintaining inventory, purchasing and stocking supplies, and other duties as needed
- Coordinate with staff for day-to-day office needs
- Screen calls, mail, email, and refer communications to appropriate person
- Schedule appointments and update staff calendar with meetings and important dates
- Provide office support and help as needed with setting up equipment such as phones, copiers, etc.
- Handle postage account and sending of mail
- Other duties as assigned
Online Support
- Manage Social media account, weekly postings
- Manage weekly email newsletter via MailChimp
- Manage website and coordinate with website designer for large scale projects (Using WordPress)
- Handle Zoom account, scheduling meetings and webinars
Project Management
- Coordinate ticket sales for community events
- Assist with event marketing
- Manage volunteers for specific projects
- Annual banquet ticketing and registration coordination
Financial Management
- Manage financial transactions, categorizing transactions, reconciling and invoicing
- Data entry of all donations into donor management software and monthly batch processing
- Pull timely donation receipts and pledge reminders for donors including end of the year statements
Qualifying Skills and Abilities:
- Proficiency in Internet Browsers, Microsoft Office programs such as Word, Excel, and Outlook software, Adobe Acrobat, and cloud-based file management systems
- Basic computer maintenance knowledge and the ability to learn basic server and networking skills
- Organizational and supervisory skills
- Must have capability to work on multiple projects or tasks at a time
- Detail oriented
- Comfortable working productively in a fast-paced, team-oriented environment in a rapidly growing organization
- Good oral and written communication and managerial skills to interface with staff, clients, interns, volunteers, and donors in a professional and effective manner
- The ability to prioritize competing deadlines
- Strong ethical standards
- Uphold the utmost confidentiality regarding meeting content and other highly sensitive information, such as personnel issues, finances, and grievances
- A strong commitment to civil rights and CAIR’s mission
Education & Work Experience
- Bachelor’s degree required
- 2 years of experience in operations, office administration, accounting, or human resources is preferred
- Experience at a non-profit organization is preferred
- Familiarity working with the Muslim community is preferred
Schedule:
- The position has flexible hours (20-24 hours a week) on a Monday through Thursday schedule (3 days a week) between the hours of 9/10AM to 5/6PM.
Compensation:
- $18-$20 per hour
- Compensation commensurate with education, skills and experience
